A Moment in Time Travel LLC (“AMITT,” “we,” “us”) is a family-owned travel agency based in Duxbury, Massachusetts. This policy explains what personal information we collect through amomentintimetravel.com and when you plan travel with us, how we use it, and who we share it with. We never sell your personal information.

  1. INFORMATION WE COLLECT
    We collect only what you choose to give us, plus basic technical details any website receives.
    • Quote requests: your name, email, phone number, where and when you want to travel, the number of adults and children, children’s ages, room needs, resort level, budget, celebrations, and anything else you tell us about your trip.
    • Job applications: your name, email, phone, city and state, travel industry experience, host agency, schedule, and what you share about yourself.
    • Reservation transfer requests: your name, email, reservation number, travel dates, and your electronic signature on the supplier’s transfer form.
    • When you book: the details travel suppliers require, such as each traveler’s legal name, date of birth, contact information, passport details, special requests, and payment information.
    • Emails, calls and messages: whatever you share when you contact us.
    • Technical information: like any website, ours receives your IP address, browser type and the pages you visit when it loads.
  2. HOW WE USE IT
    • To answer your questions and prepare your quote
    • To book, manage and change your travel, and to send you reminders and documents
    • To process reservation transfers you request
    • To review job applications
    • To keep records required for accounting, taxes and the law
    • To protect our website from spam and misuse
  3. WHO WE SHARE IT WITH
    We share your information only as needed to plan your trip and run our business.
    • Travel suppliers: the hotels, resorts, cruise lines, tour operators, airlines, transfer companies and travel insurance providers you book with. Their own privacy policies apply once they receive your information.
    • Service providers that run our business: Showit, which hosts our website and its forms; WordPress, which runs our blog; DocuSign, for documents you sign electronically; Travel Leaders, whose booking and client tools we use to plan and manage your trips; and TERN, which we use to securely collect your payment authorization.
    • When the law requires it: to comply with a legal request or protect someone’s safety.
    We do not sell or rent your personal information.
  4. COOKIES AND OUTSIDE CONTENT
    Our website does not currently use analytics or advertising trackers. Our website platform may set small cookies needed for the site to work. Some pages show content from other companies, such as our Instagram feed. When that content loads, those companies may receive your IP address and set their own cookies, under their own privacy policies. You can block or delete cookies in your browser settings.
  5. KEEPING IT SAFE AND HOW LONG WE KEEP IT
    We limit access to your information to our team and the providers listed above, and we use reputable services to store it. No website or email system is 100% secure, so we cannot guarantee absolute security. We keep your information as long as we need it to plan and support your travel, and as long as accounting, tax and legal rules require. After that we delete it or keep it in a form that no longer identifies you. We keep payment card details only as long as needed to complete your booking payments, no longer than 30 days, and then delete them.
  6. YOUR CHOICES
    You can ask us to correct or delete the personal information we hold about you by emailing info@amomentintimetravel.com. We may need to keep some records for legal or accounting reasons, or until a booked trip is complete.
  7. CHILDREN’S PRIVACY
    Our website is meant for adults. We do not knowingly collect information directly from children under 13. Children’s names, ages and travel details come only from the parent or guardian booking their trip.
  8. CHANGES TO THIS POLICY
    We may update this policy from time to time. The newest version will always be on this page with its effective date.
